We are currently seeking a proactive and detail-oriented Operations Coordinator to join our dynamic Operations team.

Key Responsibilities

Order Management

  • Handle customer communications regarding orders, deliveries, stock availability, and product queries.
  • Accurately process e-commerce sales across platforms such as our website, Amazon, eBay, and B&Q.
  • Manage Klarna payments and ensure accuracy of transactions.
  • Monitor and manage back orders daily.
  • Notify Team Managers of any out-of-stock items.

Email & Customer Communication

  • Process purchase orders received via email.
  • Ensure appropriate delivery services and payment methods are applied.
  • Respond to customer enquiries in a timely, professional, and accurate manner.
  • Log, resolve, and follow up on customer issues and internal tasks.

Logistics Coordination

  • Coordinate daily with logistics partners regarding order dispatch and issue resolution.
  • Handle claims related to damaged or failed deliveries, including documentation.
  • Provide Proofs of Delivery (PODs) upon request.

Administrative Support

  • Track outstanding back orders and follow up as required.
  • Report any stock inconsistencies to the Line Manager.

What We’re Looking For

  • Minimum 2 years of experience in operations and logistics.
  • Strong IT skills and confidence with numerical data.
  • Excellent written and verbal communication skills.
  • Ability to work well under pressure - both independently and within a small team.
  • Organised, self-motivated, and solutions-focused with a positive “can-do” attitude.

Working Hours

  • Monday to Friday, 08:00-17:00
  • 40 hours per week
  • This is a fully office-based role located at our South Gyle site in Edinburgh.

Job Types: Full-time, Permanent

Pay: £25,807.00 per year
